How to follow up with dispensary buyers

A useful follow-up gives the buyer something needed to make a decision: the right pack size, current availability, a batch document or a delivery answer. Start with the conversation already underway and make the next reply easy.

What this page is

A practical guide for cultivators building wholesale relationships with dispensary purchasing teams. The sample messages are fictional templates to adapt with verified details.

Menu activity can help prioritize your attention. It does not establish a buyer’s intent or authorize an order, a reservation or a change to agreed terms.

Read our sources and methodology for the distinction between market observations, practical guidance and illustrative examples.

Start with what the buyer actually said

Read the latest conversation before sending another menu. If the buyer asked for smaller packs, answer that request. If the open question is delivery, establish the delivery window. A generic “checking in” leaves the buyer to repeat the work.

Turn the open question into a useful reply
Buyer’s stated needUseful follow-up
A particular retail formatThe matching pack contents, price basis and availability
Batch documentationThe relevant document and the product it covers
A delivery answerA confirmed window and any remaining conditions
A smaller orderThe actual minimum and any available mixed-case option
More timeRespect the requested timing and contact preference

When a requested option is unavailable, say so plainly. Offer a relevant alternative only when its differences are clear. Do not imply that a different size, batch or price has already been accepted.

Use menu activity as context

SeedLink reports buyer activity on wholesale menus. That can give a cultivator a reason to review an account and prepare a useful answer. Keep the observation separate from what the buyer has actually confirmed.

What an activity record establishes
Observed activityReasonable next stepWhat remains unconfirmed
A menu was openedReview the current conversation before contacting the buyerWhether an order is being considered
A product was viewedHave its size, availability and documents readyWhether that product is the buyer’s choice
Items were added to a cartBe ready to answer product or quantity questionsWhether the buyer intends to submit the cart
An order was submittedReview the order through the normal confirmation processAny terms or fulfillment details still awaiting confirmation

Keep behavioral details out of the sales message. “The pack you asked about is available” advances the conversation. Announcing that you watched someone browse creates another topic for them to deal with.

Write an answer the buyer can act on

Keep the message about a specific offer and a specific missing decision. Include the current menu link, describe what changed and ask for the detail needed to continue.

Fictional example: “The smaller pre-roll packs you asked about are now on the menu. The pack contents and current price are listed together. Which quantity and delivery day should the quote cover?”

Replace every detail with something verified. If availability changed since the earlier conversation, make that change explicit. Avoid scarcity claims that cannot be supported and do not promise a delivery window before it has been confirmed.

Follow the buyer’s timing

Ask how the buyer prefers to receive future offers and whether there is a useful purchasing window. Respect a request to pause or stop contact. The point of another message is to resolve a question or share a relevant change.

If there is no reply and nothing material has changed, repeating the same offer adds no new information. Keep the account record current and return when there is a relevant reason consistent with the buyer’s preference.

Keep the final agreement together

When the buyer is ready, confirm the product, batch, retail pack contents, order quantity, price basis and delivery terms. Record the accepted terms beside the order so that the sales conversation and fulfillment team work from the same agreement.

Fictional example: “Here is the quote for the products and quantities discussed, with the delivery window and charges included. Please confirm the details or mark any changes before the order proceeds.”

After fulfillment, use the actual order and any buyer feedback to make the next conversation more relevant. Keep private buying history and engagement information within the business relationship.

Questions

Does a menu open mean the buyer is ready to order?
No. It records an open. Review the conversation and prepare useful information without assuming a purchasing decision.
Should I mention that I saw their activity?
Focus the message on the offer or question. Keep activity as internal context rather than making it the subject of the follow-up.
How often should I follow up?
Use the buyer’s stated timing and contact preference, plus a relevant reason to write. This guide prescribes no automatic message sequence.
What if the product changed since the buyer looked?
Describe the change to batch, size, availability or price clearly and ask the buyer to confirm the revised offer.
Can I reserve or submit an order from a cart?
A cart is not purchase authorization. Follow the buyer’s explicit instructions and the normal order-confirmation process.
